Dear Parents,

The PTA Board would like to wish everyone a very Merry Christmas.  We hope you've enjoyed our activities for the 2011-12 school year so far and look forward to the second half of our programs when we return to school in January 2012.

As we've mentioned in prior communications, the PTA board has had 2 Vice-President spots unfilled this year.  Historically, the Vice-Presidents fill the Co-President roles for the subsequent school year.  Planning for the 2012-13 school year would ideally start in January 2013 as we need to determine fundraisers, find event chairs, and potentially fill additional PTA board positions.  This year since we've operated without the benefit of 2 Vice-Presidents we find ourselves in the unique position of actually needing to fill the Co-Presidents role for the 2012-13 school year.  Below is a summary of the main tasks of a PTA Co-President and Vice-President.

It would truly be a wonderful gift to the PTA board during this holiday season to identify parents that would be willing to assume these leadership roles so we can continue to meet our stated mission and provide the wonderful programs and activities to the children for the 2012-13 school year.  Please give some consideration to volunteering for the Co-President role and being an active part of shaping the PTA's agenda for the 2012-13 school year.

PTA Co-President duties:
  • Meeting with Theresa and Father Carl to discuss the PTA agenda for the year, review the PTA budget, and discuss opportunities for improvement.
  • Meeting with the PTA board members over the summer to establish the PTA calendar, budget, and discuss PTA activities.  The Co-Presidents are responsible for ensuring that the PTA's activities are in accordance with our stated mission.
  • Assisting the PTA board in filling open chair and/or PTA board positions.
  • Facilitating at least 2 PTA meetings per year.
  • Facilitating PTA board meetings.  The board should meet at least 3-4 times during the school year and may need to meet more often as deemed necessary.
  • Facilitating communication with parents and teachers.  This year the PTA board established this electronic newsletter to communicate with parents and we hope it will continue to be a tool the PTA board finds useful.
  • Participating at book day to ensure sign-up sheets are done and staffing the PTA table.
  • Speaking at the OLOL Open House and New Parent Orientation to describe the role of the PTA.
  • Submitting the PTA articles for the Link Newsletter.
PTA Vice-President duties:
  • Assist the PTA Co-Presidents with implementing the PTA agenda for the school year and actively participating in the PTA board meetings.
  • Place welcome signs in the Kindergarteners/new students year before the first day of school.
  • Coordinate Halloween candy collection and delivery.
  • Coordinate Ted Drewes ice cream treat after standardized testing.
  • Assume Co-President role in June, however, the Vice-Presidents need to have been actively involved in planning for the subsequent school year in January.
Sincerely,
Wendy & Karen

FINANCES

Through October 31, the PTA's net income is approximately $12,000.  The major components of our revenues are as follows:
  • Net fundraising from Innisbrook of approximately $6,700
  • PTA dues of $3,761
  • eScrip program of $1,877
Upcoming expenses:

In November, the PTA provided the funds needed for the Kindergarten and 1st Grade Early American Day program.  Typically these costs approximate $500.

The PTA will be presenting the faculty with $150 as our St. Nick's gift in December, which will be an expense of approximately $4,000.  The purpose of this gift is to reimburse the faculty for costs they have incurred to supplement their classroom materials.

Year to date, the PTA is on budget to contribute at least $30,000 to the OLOL Playground Enhancement project and still have approximately $3,700 left over to begin the 2012-13 school year.  Any funds raised in excess of the budgeted amounts will be directly contributed to the Playground Enhancement project.

Please note that the Barnes and Noble fundraiser was sponsored by the PTA for the benefit of the OLOL Library and therefore, the proceeds from that fundraiser are not included in the PTA's 2011-12 budget.

APPLAUSE

We would like thank Erin Schocklee and Kerri Rendleman for their outstanding job on the Barnes and Noble Book Fair. The proceeds were in excess of $1,000 and were contributed directly to the library to fund its needs.

We would also like to thank Pat Coffelt, Liz Gehardt, Meg Turpin, and Cindy White for all their hard work on the Ladies Christmas Luncheon. Job well done ladies!
